GENERAL POSITION SUMMARY:
The Administrative Assistant I provides administrative and clerical support for the Controls Division. This position requires a person who is organized, creative, very comfortable with office equipment, technology, and applications, and enjoys working in a cooperative team environment.
ESSENTIAL FUNCTIONS & KRA (Key Result Areas):
> Safety/Culture
- Continuously maintains Orenco Management's safety, cultural, and professional standards.
- Promotes, encourages, and reinforces a positive safety culture, safe practices, and a safe work environment to all employees.
- Organizes, maintains, and distributes Controls Department emergency evacuation and safety plans.
- Organizes and schedules facility clean-up, in coordination with environmental manager.
- Keeps work area clean and free of safety hazards.
> Meeting and Project Coordination
- Schedules and transcribes meetings.
- Creates tasks from meetings and follows up to ensure completion and communication.
- Assists in project management documentation, updating, and reporting.
> Record Keeping/Database Maintenance
- Responsible for maintaining controls department electronic and physical files and filing systems.
- Provides back-up for employee time record data submissions, including time off coding and tracking.
- Assists with SOP (standard operating procedure) development, management, and standard workflow system maintenance.
- Assists with managing employee training system and database.
- Assists in the creation and maintenance of manufacturing wire lists, training documents, and standard bills of material within appropriate databases.
> Administrative Support
- Creates, updates, and distributes departmental correspondence.
- Assists with department activities such as meals, celebrations, off-site reservations, etc.
- Assists with online shared document collaboration, organization, and archival systems
- Assists in developing and publishing training materials.
- May provide employee training for common software and devices.
- Stocks office supplies, keeps office and division common areas organized and clean.
- Ships/mails small items.
- Researches options, purchases, or requests office/shop equipment and furniture.
- Prepares new employee office space and may assist with new employee onboarding.
- Provides assistance with office equipment, software, and phone systems.
- Assists with coordination of travel for Orenco personnel and visitors. This includes securing flights, rental and company vehicles, hotels, meals, acquisition of specialized materials, and maintaining security of personal information.
- Runs business errands for division management.
> Work to be done during manufacturing business hours, which may include an occasional early and/or later shift as needed. Occasional long hours may be required.
> Regular, consistent, and predictable attendance is required.
> Performs other duties as assigned.
EDUCATION:
High school diploma or equivalent.
KNOWLEDGE/SKILLS/EXPERIENCE:
- At least one year experience of business/administrative work required with understanding of basic office and filing systems preferred.
- Proficient in Microsoft Office 365 online and desktop applications.
- Understanding of computer systems and applications and ability to provide technical assistance.
- Skilled in editing, writing, and document formatting.
- Work requires meticulous and continuous attention to detail in composing, typing, inputting data, and proofing materials.
- Ability to work cohesively with various team members and communicate in a professional, courteous, and customer service-oriented manner.
- Organized, able to prioritize, stay focused, meet deadlines, and work independently.
- Previous project management experience helpful.
- Ability to be flexible and adjust to priority changes with little notice and to remain calm during confrontational or high-pressure situations.
- Ability to use sound judgement and follow-through in problem-solving and decision-making processes.
- Must have satisfactory driving record, maintain valid driver's license, and current insurance on personal vehicle if used for business. Must meet company insurability requirements.

WORKING CONDITIONS:
Office environment. May occasionally be exposed to outside climate and various dusts and chemicals throughout the production area.
PHYSICAL REQUIREMENTS:
Regular job duties include seeing, speaking, hearing, reading, writing, keyboarding, prolonged periods of sitting including extended time viewing a computer screen. Intermittent physical activity including standing, walking, kneeling, climbing stairs and ladders, reaching, pushing, pulling, grasping, holding, bending, twisting, stooping, squatting, and occasional light lifting of under 20 lbs. Occasional operation of a motor vehicle.
