GENERAL POSITION SMMARY:

The Administrative Assistant II – Operations Management performs organizational, training, and clerical functions within the Manufacturing Department. This position requires a person who is organized and skillfully prioritizes multiple tasks. They demonstrate drive and self-motivation, communicate effectively, are punctual, and enjoy learning new systems and processes. It also requires a person who communicates effectively, takes full ownership of their responsibilities, and enjoys working in a cooperative team environment. They professionally and consistently support Orenco vison, safety, quality, and production goals.


ESSENTIAL FUNCTIONS & KRA:

> Safety/Culture

  • Expectation that Orenco Management's Safety, Cultural and Professional standards are continuously maintained.
  • Promotes, encourages, and reinforces a positive safety culture, safe practices, and a safe work environment to all employees.
  • Keeps work area clean and free of safety hazards.

> Project Coordination

  • Assists Project Manager to create project management documents such as RACI (responsible, accountable, consulted, and informed charting system), Lucid charts, Smart Sheets etc.
  • Assists Project Manager by monitoring project tasks lists, sending due date and reporting requirement reminders to assist project members in remaining on task.
  • Is assigned multiple projects by the Manufacturing Manager at any given time and is responsible for assisting the manager in keeping them all up to date and meeting deadlines.
  • Performs clerical functions during project meetings by updating project documents and recording meeting minutes.
  • Edits, prepares, and distributes reports or other media summarizing project progress.
  • Schedules and transcribes meetings.

> MOPs/SOPs Development and Management

  • Manages aspects of the MOP/SOP (Machine Operating Procedures/Standard Operating Procedures) document control system and approval process.
  • Assists and advises operational leadership teams to improve MOP's/SOP's.
  • Collaborates with MOP/SOP authors to review, suggest, revise, re-write and enhance existing MOP's/SOP's.
  • Manages supporting documents that augment SOP's, including checklists, desktop guides, and communication or workflow templates.

> Graphic Design

  • Designs and produces print and digital media, flyers, signs, charts, PowerPoint presentations, reports etc.
  • Designs or modifies software application dashboards for better user functionality.
  • Creates memorable, effective, and aesthetically pleasing messaging.
  • Communicates effectively with project leaders to create project applications that fit their needs.

> Administrative

  • Trains employees to use common software: i.e., FileMaker, Lucid Charts, Smart Sheet etc.
  • Assists leadership in writing manufacturing policy and disciplinary action documentation.
  • Maintains and inputs data into and validates data bases.
  • Develops, edits, manages, and validates information and documentation systems.
  • Is responsible for keeping sensitive information confidential.

> Performs other duties as assigned.

> Work is to be done during normal manufacturing business hours with occasional overtime as needed. May include shift work.

> Regular, consistent, and predictable attendance is required.


EDUCATION:

High School diploma or equivalent.


KNOWLEDGE/SKILLS/EXPERIENCE:

  • At least one year of business/clerical related work experience is desired but not required.
  • Requires strong and accurate computer skills, including Excel, Word, and PowerPoint as well as graphic arts programs such as Publisher.
  • Experience with Smart Sheet and Lucid Charts preferred.
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations in a discreet and responsible manner.
  • Ability to communicate in a professional, courteous, and customer service-oriented manner.
  • Understand and execute oral and written instructions, policies, and procedures.
  • Excellent organizational skills are required.
  • Work requires meticulous and continuous attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
  • Excellent written and verbal communication skills are required.
  • Knowledge of use and operation of standard office equipment.
  • Ability to work independently.
  • Ability to work cohesively with various team members, take direction from several managers, and have the ability to prioritize work and meet deadlines.
  • Previous project management experience helpful.
  • Must have satisfactory driving record, maintain valid drivers license, and current insurance on personal vehicle if used for business. Must meet company insurability requirements.

WORKING CONDITIONS:

Office environment. May occasionally be exposed to outside climate and various chemicals throughout the production area.


PHYSICAL REQUIREMENTS:

Seeing, speaking, hearing, reading, writing, keyboarding, prolonged periods of sitting including extended time viewing a computer screen. Intermittent physical activity including standing, walking, climbing stairs, reaching, pushing, pulling, bending, stooping, and occasional light lifting of up to 30 lbs. Occasional operation of a motor vehicle.
